OFFICIAL POLICIES, PROCEDURES AND AWARDS DETAILS

We have provided this USTBA California Official Policies and Procedures page with the intention of providing as much clarity as possible to teams supporting USTBA California events. It is the aim of these same policies and procedures to be help protect all of the teams participating in USTBA California tournament events. If you should have any questions regarding any of our tournament policies and procedures please feel to email me or call me anytime Monday thru Saturday 10am to 7pm.

Please keep in mind that once your team officially enters a USTBA tournament event we are fully committed to your team with all of our USTBA resources and we respectivey ask the same of all teams participating with USTBA. It is our goal to protect not only your team but additionally every team participating with USTBA.


USTBA San Diego Returned/NSF Check Policies: Unfortunately due to a rash of NSF checks being returned to our office - Effective immediately all tournament entry fee checks returned from payer's bank for reason of NSF, or for any other reason, unpaid, will be charged a returned check fee of $75.00 payable to USTBA San Diego or Joe Butler in the form of a money order
or cashier's check. Payment in cash is also acceptable. Additionally no check returned to USTBA San Diego as NSF will be re-deposited by USTBA SAn Diego. Respective writer of NSF check to USTBA (USTBA San Diego) will re-submit payment in full (including $75.00 returned check fee) in cash, money order or cashier's check. Personal or business checks will NOT be accepted under any circumstances. If after 5 business days of written notice from USTBA San Diego NSF check is not paid in full, writer of NSF check, will be responsible for any other additional legal fees/legal actions (such as but not limited to Small Claims Court fees) and costs incurred by Xtreme Diamond Sports in attempting to collect said debt from writer of NSF check.


USTBA San Diego Awards Policies: In an effort to provide quality awards to our participants our awards policy is geared towards rewarding each particating player in a given tournament. Individual participating player awards range from Medals, T-Shirts (or apparal of some type), sweatshirts, or hats and in some events USTBA Championship rings. In some events redeemable team script is awarded to the top teams for team apparal or team equipment (gloves, bats, etc) depending on the event. Award packages are determined solely by the tournament director's discretion and may be modified depending on such circumstances such as an item being back ordered to long to wait for. In such cases an award package of the same value will be substituted for the unavailable item. Please keep in mind that everything will be done to honor the "advertised" award as we are aware that the kids get their hearts set on what they are told they will be receiving as an award from USTBA San Diego. All custom ordered items may take up to three weeks from the date of your team order to be recieved by your team manager. Apparal and speciality items are awared for each participating player on roster up to 14 players max unless game score cards show a team had more than the 14 players actually participating that weekend in tournament. Speciality and apparal items take 2-3 weeks for delivery to team once we have received your faxed order. Telephone orders are not accepted. Teams wanting to purchase additional apparal items may do so by submitting request to tournament director at an additional cost, determined by USTBA San Diego, which is pre paid to USTBA San Diego at the time of placing the order.


USTBA Membership: All teams participating in any United States Travel Baseball Association (USTBA) tournament event must have a current USTBA Membership.
USTBA Team Roster: All teams must present a current USTBA Team Roster to tournament director prior to first scheduled game of tournament one hour prior to start of game.
USTBA Playing Rules: All teams participating in any USTBA tournament must adhere to all Local USTBA San Diego Baseball rules and USTBA National Baseball rules.
Team Cancellations: Teams cancelling or dropping out of any USTBA tournament event must notify the tournament director via email in writting no later than 14 days prior to the start of the tournament event they are dropping out of. Exception: Super Regional NIT, State Championships and National Championships deadline to cancel is 21 days. Notice of team wishing to drop out of a USTBA event they have entered must be given by the team manager or the business manager of team. If a team drops out of a USTBA tournament event, past the cancellation deadline, team will forfeit in full their team entry fee. NO EXCEPTIONS.
Note: In the event that a team is given a future tournament team credit that credit must be used by same team (no exceptions) within one of the next three scheduled USTBA California events from the issuance of tournament credit. Tournament credits are at the sole discretion of the tournament director and are awarded normally under only the most severe circumstances on a team to team basis.


Refund Policy: Our Tournament Refund Policy is designed to be fair and equatable for both the tournament host & the participating teams. The event host incures prior tournament expenses which cannot be be recovered or returned, such as field rental use deposits and payments, tournament awards, advertising, adminstrative costs and other miscellanous expenses.
Please note that USTBA will attempt to reschedule all events cancelled due to rain (or any other natural disaster). If event is rescheduled and a team cannot make resheduled event - team will receive a rain out credit for later USTBA event. Above rain out refund policy pertains only to rained out events not rescheduled per USTBA policies.


Tournament Status: Cancelled due to lack of participation - Percent of Refund: 100%
Tournament Status: Cancelled due to rain or acts of God - Percent of Refund: 80%
Please note that this is our USTBA California 80/20 refund policy. Teams receiving 80% tournament entry fee refund will also receive the deducted 20% tournament costs USTBA has incurred as a 20% credit for any future USTBA tournament event. Example: If tournament entry fee is $500.00 you will receive $100.00 back and pay only $400.00 for the event.
Tournament Status: Team played less than one game - Percent of Refund: 75%
Tournament Status: Team played 1 regulation game - Percent of Refund: 50%
Tournament Status: Team starts or completes second game - Percent of Refund: None
Tournament Status: All teams cancelling/dropping out of any USTBA event for any reason are subject to a $75.00 processing fee which will be deducted from their team entry refund by USTBA. All approved refunds will are processed within, and up to, five (5) business days by the tournament director after the completion of event or of any rescheduled make up event.
Note: Roll over credits from rained out tournaments can be used at any time during the season by team which was rained out or by any other team in that team's same organization but request to apply rain out credit to another team in your organization must be done explicitely in writing by same team wishing to transfer rain out credit to another team in their same organization. Please be advised that in rolling over a tournament credit from a two (2) day event into a three (3) day tournament event the participant must pay the difference between the two different events by separate check before the three (3) day event they choose to roll over their two (2) day tournament credit into.


Game Time Reguests Policy:
1. All game time requests must submitted in writing via email by team manager.
2. Game time requests are NOT guaranteed (even though we try to accommodate whenever we possibly can).
3. Game time requests are granted to those teams that are paid first and in the order they are recieved from paid teams.
4. Out of state or out of area teams are given priority for later game times requests in order to give those teams time to get to the tournament site.
5. Game time requests pertain only to the first day of the tournament event.
6. Game time requests must be submitted 6 days prior to start of tournament play and will not be considered if submitted during the week of the start of the event. (Ex: If tournament play begins on a Saturday, game time requests are not accepted after Monday 12:01am)
7. Once brackets are posted game time requests are strickly prohibited and any change in any brackets will only be made in the case of tournament director error.

 

***PLEASE REMEMBER THAT ONLY PAID TEAMS ARE GUARANTEED SPOTS IN THE TOURNAMENT.
YOUR TEAM WILL NOT BE BRACKETED TO PLAY IF YOUR TEAM IS NOT PAID BY TIME BRACKETS ARE POSTED. TEAMS ARE TAKEN ON A FIRST COME FIRST PAID BASIS ONLY.
**IF BRACKETS BECOME FULL (SOLD OUT) YOUR TEAM WILL BE PLACED ON A WAITING LIST.

***USTBA RESERVES THE RIGHT TO CHANGE FIELD SITE LOCATIONS AND TOURNAMENT FORMAT WHENEVER NECESSARY.
